Community Knowledge Queue
The Community Knowledge Queue lets your users contribute knowledge content that admins can review before it goes live. This creates a collaborative knowledge base while maintaining quality control.
Overview
When community contributions are enabled, users can submit knowledge entries based on their expertise. These submissions enter a moderation queue where admins review, approve, or reject them. Approved content becomes part of the official knowledge base and is available to the AI assistant.
Status tabs
The queue is organized by status:
Pending
Newly submitted contributions waiting for review. These have not been seen by an admin yet.
Approved
Contributions that have been reviewed and accepted into the knowledge base. These are now live and available to the AI assistant.
Rejected
Contributions that were reviewed and declined. Each rejected entry includes a reason so the contributor understands why.
Review columns
Each entry in the queue shows:

| Submitted | When the contribution was submitted |

Click on any entry to open the full content for review.
Actions
Approve
Accept the contribution and add it to the knowledge base:
- Review the content for accuracy and completeness
- Click Approve
- The content becomes available to the AI assistant immediately
Reject with reason
Decline a contribution and provide feedback:
- Review the content
- Click Reject
- Enter a reason explaining why (e.g., "Inaccurate information," "Duplicate of existing article," "Needs more detail")
- The contributor is notified with your reason
Always provide a clear, constructive rejection reason. This helps contributors improve future submissions and maintains trust in the process.
Promote to official
For high-quality contributions, you can promote them to official knowledge content:
- Approve the contribution
- Open it in the knowledge editor
- Refine the content if needed (add metadata, adjust scoping, improve formatting)
- Publish as an official article
This elevates community knowledge to the same level as admin-authored content.
Moderation best practices
- Review promptly — Check the queue regularly. A backlog of pending submissions discourages future contributions.
- Be consistent — Apply the same quality standards across all submissions. Document your criteria so all admins align.
- Provide feedback — When rejecting, explain what would make the submission acceptable. When approving, consider thanking the contributor.
- Watch for duplicates — Before approving, check whether similar content already exists in the knowledge base.
- Verify accuracy — Community-submitted content may contain inaccuracies. Cross-reference with official documentation when possible.
- Edit before publishing — If a submission is mostly good but needs minor fixes, approve it and edit it directly rather than rejecting and asking for a resubmission.
Encourage contributions by recognizing active contributors. A healthy community queue means your users are invested in making Appilot better for everyone.
