Backoffice Overview

The Backoffice is your organization's control center. It's where you manage everything that powers the AI assistant: knowledge content, domains, users, uploaded files, and analytics.

Accessing the Backoffice

  1. Go to your Backoffice URL (provided by your organization or Appilot)
  2. Sign in with your admin credentials
  3. Select your organization (if you belong to multiple)

The Backoffice navigation includes: Knowledge, Knowledge Requests, Domains & Applications, Users, RAG Files, Analytics, and Settings. The Users page provides user management capabilities including approval workflows, role assignment, and organization membership.

Main sections

Knowledge

Create, edit, and publish knowledge content scoped to specific domains and pages. This is the primary content the AI assistant uses to answer user questions.

Key actions:

  • Create new knowledge articles
  • Edit and version existing content (with Steps and Metadata tabs for procedural guidance and scoping)
  • Publish or unpublish content
  • View content by domain or URL pattern

Knowledge Requests

View and manage requests from users who couldn't find answers. Each request includes the user's question, the page they were on, and the page context.

Key actions:

  • Triage incoming requests
  • Mark requests as in-progress
  • Resolve requests (which notifies the user)
  • Use requests to identify knowledge gaps

Domains & Applications

Register and manage the web applications and domains where Appilot is active.

Key actions:

  • Register new domains
  • Configure URL patterns
  • View harvested (unregistered) domains
  • Map domains to knowledge content
  • Configure Site Adapters for domains that use non-standard frameworks (e.g., Vaadin)

Users

Manage your organization's users and their roles.

Key actions:

  • Approve pending users
  • Assign roles (user, admin)
  • Manage organization membership

RAG Files

Upload and manage documentation files that enhance the AI assistant's knowledge.

Key actions:

  • Upload PDF and text files
  • Associate files with domains and URL patterns
  • View file processing status

Analytics

Understand how users interact with Appilot and where they need help.

Key actions:

  • View usage trends
  • Identify top domains and pages
  • Track knowledge coverage
  • Monitor token consumption
