User Management
Control who has access to your Appilot organization and what they can do.
User roles
| Role | Can use assistant | Can manage knowledge | Can manage users | Can configure settings |
|---|---|---|---|---|
| User | Yes | No | No | No |
| Admin | Yes | Yes | Yes | Yes |
Enterprise SSO
When Enterprise SSO is enabled, users provisioned through your identity provider join your organization as either Member or Guest, depending on the SSO provisioning policy you choose. SSO never grants admin automatically; promote a user separately if needed.
Inviting users
Users can join your organization in two ways:
Self-registration
- Users register at appilot.com
- They request to join your organization
- An admin approves (or rejects) the request in the Backoffice
Admin invitation
- Go to Users in the Backoffice
- Click Invite User
- Enter the user's email and select their role
- The user receives an invitation to join
Approval workflow
When self-registration is enabled:
- New user registers and selects your organization
- The user appears in the Pending Approval list
- An admin reviews the request
- Admin approves → user gains access
- Admin rejects → user is notified
Managing existing users
In the Users section, admins can:
- View all organization members
- Change user roles (user ↔ admin)
- Remove users from the organization
- See user activity summary
