Activity Monitoring
Activity Monitoring gives you visibility into how your organization's users interact with Appilot. Track adoption, identify usage patterns, and troubleshoot issues — all from the Backoffice.
Overview
The Activity page in the Backoffice shows a timeline of all user interactions across your organization's registered domains. Unlike the per-user Activity page in My Account, this view aggregates activity for all users in your organization.
Activity types explained
Every user interaction is classified into a type:
| Activity Type | Description |
|---|---|
| AI Query | A user asked the AI assistant a question |
| Search | A user searched the knowledge base |
| Page Visit | Appilot was active on a page and captured context |
| Form Interaction | A user received form-level assistance |
| Panel Open / Close | A user opened or closed the Appilot panel |
Filters
Use filters to narrow down the activity view:
Domain filter
Select a specific domain or application to see activity only on that site. This is useful when you manage multiple web applications and want to focus on one.
Date range filter
Set a start and end date to limit the timeline. Presets like "Last 7 days" and "Last 30 days" are available for quick selection.
Metric type filter
Filter by activity type to focus on specific interactions — for example, show only AI Queries to understand how heavily the assistant is being used.
Reading the timeline
The activity timeline displays events in reverse chronological order. Each entry shows:
| Field | Description |
|---|---|
| User | The user who performed the action |
| Type | The activity type (with icon) |
| Domain | The website where it happened |
| URL | The specific page |
| Timestamp | When the activity occurred |
| Details | Additional context (query text, search terms, etc.) |
Click on a timeline entry to see the full details, including the page URL and any associated context.
Use cases
Adoption tracking
Monitor how many users are actively engaging with Appilot. Look for:
- Growth in daily active users
- Increasing AI query counts over time
- New domains appearing in activity logs
Troubleshooting
When a user reports an issue, use Activity Monitoring to:
- Filter by the user's email or name
- Find the relevant time window
- Review the sequence of events leading to the issue
- Check whether the AI query returned relevant knowledge
Identifying knowledge gaps
A high volume of AI queries on a specific domain or page — especially if followed by knowledge requests — signals that your knowledge base needs more content for that area.
Understanding peak usage
Use the timeline's date range and type filters to identify when users are most active. This can inform decisions about:
- When to schedule knowledge base updates
- Whether additional training or onboarding is needed
- Capacity planning for AI model usage
